There may be a situation where you have shares of a Listed Company but you have lost the share certificate or not able to track your shareholding. In such cases, there is a solution which is explained in this article.

Here’s how to track your shares and obtain a share certificate for your shareholding.

Steps to be followed

1. Affidavit in Form A and indemnity Bond in Form B should be provided by the security holder to the Issuer Company and RTA.

2. In case the value of securities is more than Rs. 5 lakhs then some additional documents are required:

  • Copy of FIR/e-FIR
  • Issuance of advertisement regarding loss of securities in widely circulated newspaper

3. Quantify the value of securities on the basis of the closing price at any stock exchange as on the day prior to date of submission of application.

4. If the security holder does not have Certificate number/Distinctive Number/Folio No. then written should be submitted to the RTA and RTA will provide the details only if the signature and the address of the security holder matches with record of RTA and listed company.

5. If the signature or address of security holder do not match with the records of RTA/Issuer Company then KYC is to be completed first.

6. RTA/Issuer company should intimate the claimant about execution of duplicate share certificate within 30 days or receipt of the request by issuing Letter of Confirmation (Form C)

7. The claimant should submit Demat Request to the Depository Participant (DP) within 120 days of issue of Letter of Confirmation along with signed copy of Letter of Confirmation.

8. In case no request is sent within this period then the securities will be credited to Suspense Escrow Demat Account of the Issuer Company.

9. RTA and Issuer company will send reminder after end of 45 days and 90 days respectively to claimant to submit demat request.

10. On receipt of Demat Request, the DP should generate demat request and forward it to Issuer Company/RTA.

11. Issuer Company/RTA will process the demat request and inform the claimant about his holdings.
